# Understand reports

> Review completed work, invoice collection, and upcoming planning capacity with the correct scope and definitions.

Use **Reports** to answer three separate questions: what work was completed, what is still owed on issued invoices, and whether upcoming weeks have enough planning coverage and capacity.

## Access and prerequisites

* You need **Read reports** to open **Reports**.
* You also need **Read Planning** to open Planning from its report.
* Invoice reporting begins with issued or sent invoices. Drafts and failed invoice creation are excluded.
* Planning uses work schedules, service time, and planned travel. Missing or incomplete inputs affect the result.

## Choose a report

| View | Use it to understand | Scope |
| ------------- | -------------------------------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------- |
| **Overview** | Completed value, completed visits, recurring share, customer concentration, and expected recurring value | Selected completion dates and scheduled team members; the current business position remains company-wide |
| **Invoicing** | Open and overdue receivables, due-soon invoices, aging, invoice collection, and net collected amount | Current receivables are company-wide; collection follows selected invoice dates |
| **Planning** | Demand, coverage, unplanned visits, utilization, travel, and issues for the next four full weeks | Demand and coverage remain company-wide; utilization and travel follow selected team members |

Historical ranges use company-local dates, cannot end in the future, and can cover at most 366 days. Presets include the last 30 days, quarter to date, and year to date.

## Read the values correctly

* **Completed value** is the value of active orders completed in the selected scope. It is operational value, not accounting revenue.
* **Expected recurring value** projects active subscription tasks from their cadence. It is not scheduled, invoiced, paid, or guaranteed.
* **Open receivables** use the accounting provider's current remaining invoice balances.
* **Overdue receivables** are open amounts with a due date before today; invoices due today are not overdue.
* **Net collected amount** is successful order payments less refunds. It is separate from provider settlement, which can also reflect accounting adjustments.

    Start with the operational question you need to answer instead of comparing unrelated values across views.

  <Step title="Set the date range">
    Use a preset or enter an inclusive custom range. Overview filters by completion date; Invoicing filters by invoice date.

  <Step title="Choose team members when relevant">
    Member filters affect completed work and selected planning capacity, but they never hide company-wide receivables, demand, or unplanned visits.
  </Step>

  <Step title="Open the source workflow">
    Use **Planning** or [Invoices](/accounting-and-payments/manage-invoices) when a report shows work that needs action.

<Note>
  Reports do not provide CSV export. Use the visible filters and definitions when reconciling the figures with another system.
