Sweeply owns the operational workflow, while the connected accounting provider owns the official accounting records and invoice totals.

Invoice creation

When an order is completed, Sweeply stores the effective invoicing preference. If an invoice is required, it synchronizes the customer and one invoice line per order task with the selected accounting provider. Sweeply sends net-of-VAT line values. The accounting provider calculates and returns the authoritative net, VAT, and gross totals after accepting the invoice.

Payments

  • Cash: Sweeply registers the completed invoice as paid through the configured cash account and provider journal where required.
  • Stripe: Stripe collects the payment, and Sweeply registers the successful PaymentIntent against the current accounting invoice using the configured Stripe clearing account.

Refunds

Stripe remains the authority for card refunds. A successful refund updates the order payment in Sweeply immediately. Accounting follow-up then records the credit note and settlement evidence; an accounting failure does not undo the provider-confirmed refund.

Payouts

When enabled, a paid Stripe payout moves value from the Stripe clearing account to a separate payout account in the connected accounting provider. Fees and other Stripe balance activity remain part of your ordinary reconciliation.

Connection and readiness

Sweeply reports separate readiness for:
  1. Invoice creation
  2. Cash-payment registration
  3. Stripe payment and refund registration
  4. Stripe payout accounting
Each invoiced order keeps the accounting provider that created its invoice. Changing the currently connected provider does not move historical invoice ownership.
