Before you begin
You need permission to read, create, and update teams. The people you select must already be members of your company. Their roles still control what they can see and do; joining a team does not grant additional permissions. A member can belong to only one team with automatic planning enabled. That team takes precedence over the member’s individual route in automatic planning.Set up the team
1
Create or open a team
Go to Settings > Teams. Select Create Team, enter a name, and save. Open the team to configure its planning settings.
2
Choose who works together
Select the Team members. Planning uses their combined services and equipment or qualification capabilities to decide which complete visits the team can perform.
3
Set the route details
Choose the company address or a specific start address, then set the transport mode and planning priority. A specific address must be selected from the address suggestions.
4
Set working hours and work speed
Review the team’s Weekly work schedule and Work speed (%). These describe the whole team. The speed is not calculated from the number of people or their individual settings.
5
Enable planning and save
Turn on Plan visits for this team and save. Activation requires at least one member, a usable start location, and working hours.
6
Review the upcoming plan
Open Planning, select the team, and review affected weeks. Run planning again where needed. Changing the setup does not immediately replace saved routes, visit times, or durations.
The team appears as one route in Planning. Assigned members with the necessary permissions can see and work through its visits in Daily Program.
Hours and absence
The team uses its own working hours. It does not calculate a shared schedule from each member’s individual weekly hours. Use Settings > Availability for team hours and date-specific exceptions. A member’s recorded Time off also makes the team unavailable on those dates. Sweeply does not automatically remove that person and plan a smaller team. Review the staffing and move affected visits to another available person or team when necessary.Changing the team
- Adding or removing a participant updates the participants of visits that have not started, while keeping their saved times and duration.
- Started and completed visits keep their recorded participants. Removing a person from the company ends their access.
- A team with one person keeps its configured work speed. Review that speed when staffing changes.
- An empty team keeps its existing visits visible but cannot receive new assignments or start work.
- Deleting a team leaves its members in the company. Active visits that have not started return to unplanned work in their scheduled week; review any customer promises before planning them again.
